Records Management System Update

n 2009 the Sheriff’s Office completed the major undertaking of replacing it’s previous, outdated, records management system with a software system provided by Spillman Technologies, Inc.

The County Commissioners approved the purchase of the system in August of 2009. An aggressive implementation schedule was set, with a go live date of December 14, 2009. There was a lot to do between August and December.

Within that 4 month time frame there was hardware upgrades, connectivity and interface challenges, system configuration, training, as well as other issues to face. The implementation team was able to coordinate and successfully accomplish the lofty schedule.

Spillman went live December 14 as planned. Spillman provided three months of on site agency training, technical and system configuration assistance, and a dedicated staff for go live week

All of this had to be accomplished while coordinating with the Fallon Police Department, as we successfully integrated with the Spillman records management system they have been utilizing for many years.

The Sheriff’s Office project replaced the server hardware at the Police Department and allowed for connectivity between the two agencies. One of the major benefits is that both agencies have access to information related to anyone either agency has put in the system. As either agency has contact with a person that person’s history is updated. This is a significant officer safety and investigative component.

In the near future this system will also be integrated with Justice Court and the District Attorney’s Office systems to transfer arrest data to those agencies. This will insure maximum efficiency and accuracy of arrestee information.

The Spillman system provides the Sheriff’s Office with a fully integrated data solution. All divisions are utilizing Spillman and sharing the benefits of integration within the Sheriff’s Office, and with the Police Department.
